An order should be easy to follow from payment to delivery. Keep the listing, source record and shipment together so you can answer a buyer’s question without searching through several accounts.
Start with orders that need action
Sort by the next deadline rather than by the newest notification. Separate orders awaiting dispatch from shipments already in transit, returns and open cases.
- Confirm the order. Check payment status, product, variant, quantity and the delivery address shown in the order.
- Check supply. Verify availability and the dispatch service you promised.
- Record actual cost. Include shipping and other expenses, not just the old source price.
- Record dispatch. Keep the genuine carrier and tracking number with the correct order.
For supplier fulfillment, confirm that your arrangement fits the sourcing policy. A saved Amazon URL identifies a product; it is not evidence that a particular order has shipped.
Use tracking that describes the real shipment
Upload the carrier and tracking number for the parcel that is actually going to the buyer. Check that the carrier recognizes it and that the details have reached the correct eBay order.
eBay explains how to add tracking in its tracking guide. A label being created and a parcel being accepted by the carrier are different events. Review shipments with no movement instead of assuming the upload completed the job.
Do not substitute an unrelated tracking number or describe a shipment as delivered without evidence. Keep the original carrier record available if a buyer reports a problem.
Make exceptions easy to resolve
| What happened? | Next step |
|---|---|
| Stock disappeared | Check whether you can fulfill the exact item as promised. If not, communicate and use the accurate cancellation reason. |
| Tracking has not moved | Check the carrier and dispatch record; update the buyer with facts. |
| Buyer reports the wrong item | Compare the ordered variant with the dispatched item and handle the return or resolution through eBay. |
| Costs rose after the sale | Record the actual loss or smaller profit, then update the source and pricing rules for future sales. |
A useful message is specific: “I’m checking the shipment with the carrier. I’ll update you by Tuesday.” Only give that deadline if you can meet it. Avoid promising a delivery date you have not confirmed.
Keep the return and refund linked
Open the return request in eBay and follow its instructions and deadlines. Confirm the return destination and the correct label or shipping method. Your supplier’s process and your obligation to the buyer may differ.
Keep the return shipment, supplier credit and buyer refund as separate entries. A supplier refund does not prove the eBay buyer was refunded, and a full buyer refund does not necessarily mean every fee was credited.
Use eBay’s returns guidance for the current workflow. Record actual credits when they arrive rather than leaving the original estimated profit unchanged.
Close the day with a short check
- Every paid order has a source or fulfillment record.
- Dispatch deadlines and open cases have an owner and a next action.
- Tracking exceptions have been checked.
- Refunds and actual costs have been recorded.
- A recurring source problem has been reflected in stock or pricing decisions.
Automation can reduce repeated work, but the exception list needs to stay readable. One clear status per order and a visible next step are more useful than several overlapping “complete” messages.

Questions sellers ask
Does a saved source URL mean an order is fulfilled?
No. It identifies the source product. You still need the order-specific purchase or fulfillment record and shipment details.
What if a product is out of stock after it sells?
Check whether you can still supply the exact item within the promised terms. If you cannot, communicate with the buyer and resolve the order using the accurate reason.
Should I treat estimated profit as final?
No. Reconcile actual purchase costs, selling fees, advertising, refunds and fee credits before treating the result as final.
